Terms & Conditions – Term-Time Classes & Holiday Programmes

1. Introduction

These Terms & Conditions are intended to ensure clarity between Reflect Productions and parents or guardians enrolling children in our classes and courses.

By enrolling your child in any Reflect Productions term-time class or holiday programme, you agree to these Terms & Conditions.

These Terms & Conditions are governed by the laws of England and Wales.

2. Definitions

  • “We”, “us”, “our” – Reflect Productions
  • “You” – the parent or legal guardian responsible for booking and payment
  • “Student” – the child attending classes or courses
  • “Term-time classes” – weekly classes running during school terms
  • “Holiday programmes” – workshops, intensives, camps or short courses run during school holidays
  • “Venue” – any facility used for classes or courses but not owned by Reflect Productions

3. Enrolment & Payment

3.1 Term-Time Classes

  • Term-time classes are paid monthly only.
  • Fees are pro-rated, with the cost of the three school terms spread evenly over 12 monthly payments throughout the year, including the school holidays
  • Monthly fees are payable in advance.
  • Your child’s place is confirmed only once payment has been received.

3.2 Holiday Programmes

  • Holiday programmes must be paid in full at the time of booking, unless otherwise stated.
  • Payment can be made in one single payment.
  • Places are limited and allocated on a first-come, first-served basis.

3.3 Missed or Late Payments

  • We reserve the right to refuse attendance if fees remain unpaid.
  • Cancelling or failing to complete payment does not constitute notice of cancellation.

4. Cancellations & Refunds

4.1 Term-Time Classes (Parent / Guardian Cancellation)

  • We require one full calendar month’s notice in writing by email to cancel term-time classes.
  • Notice must be sent to admin@reflectproductions.co.uk.
  • Fees remain payable during the notice period.
  • No refunds are given for partial months or missed classes.

4.2 Holiday Programmes (Parent / Guardian Cancellation)

  • If you cancel more than 14 days before the programme start date, a full refund will be issued (minus any non-refundable booking fees, if applicable).
  • If you cancel within 14 days of the start date, no refund can be given, unless the place can be filled.
  • Refunds are not available for missed days, late arrival, or early withdrawal.

5. Illness & Non-Attendance

  • If a student is unable to attend due to illness, please notify us as soon as possible.
  • No refunds or credits are given for missed term-time classes due to illness, holidays, or other personal commitments.
  • For holiday programmes, refunds due to illness are not guaranteed and are considered at our discretion.
  • Students should not attend classes or programmes if they have an infectious illness.

 

6. Changes or Cancellations by Reflect Productions

  • We reserve the right to cancel, amend, or reschedule classes or programmes where necessary (e.g. staff illness, low enrolment, venue issues).
  • If we cancel a holiday programme or session, a full refund will be issued for the cancelled sessions.
  • If a term-time class is permanently cancelled, any fees paid for undelivered sessions will be refunded.

7. Behaviour & Participation

  • Students are expected to behave respectfully and follow instructions at all times.
  • We reserve the right to remove a student from a session if behaviour is unsafe or disruptive.
  • No refunds will be given where removal is due to behaviour.

8. Health & Safety

  • You must inform us of any medical conditions, allergies, or additional needs at enrolment.
  • Students participate at their own risk.
  • Reflect Productions accepts no liability for injury except where caused by our negligence.

9. Photography & Video

  • We may take photographs or video recordings during classes or performances for promotional purposes.
  • If you do not consent, you must notify us in writing at the time of enrolment.
  • Parents and audience members may not photograph or film performances unless explicitly permitted.

10. Supervision & Collection

  • Students must be collected promptly at the end of each session.
  • Reflect Productions is not responsible for supervision outside scheduled class times.
  • Repeated late collection may result in additional charges or withdrawal of a student’s place.

11. Data Protection

  • We comply with UK GDPR regulations.
  • Personal data is handled in accordance with our Privacy Policy.
